TRAVEL INSURANCE
Cairn Travels highly recommends that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more. Consider CFAR (cancel for any reason) insurance in order to cancel for reasons not listed in the policy.
For your convenience, we offer travel protection through Allianz & Travelex Travel Insurance.
Please Note: To be eligible for the waiver of pre-existing medical condition exclusion and CFAR, the protection plan must be purchased within 14 days (classic plan) from the time you make your initial trip deposit. However, the plan can be purchased any time prior to departure.
DOCUMENTATION
It is the responsibility of passengers to see that proper documentation is obtained in advance of the trip. A passport valid for a minimum of 6 months is required of all nationals.
Additionally, all passengers are required to hold a valid visa wherever required. It is the passenger’s responsibility to check with the appropriate consulates as to the visa requirements and obtain proper travel documents before the trip. Visa fees are not included.
HEALTH REQUIREMENTS
It is the passenger’s responsibility to take all precautions with regard to health regulations.
AIR TRANSPORTATION & PASSENGER NAME
Air transportation is based on one-way or round-trip economy class travel on airlines specified in each program or itinerary. Often air transportation within the tour programs or destination(s) is arranged locally. Airfares are not refundable once air transportation has begun. Tickets are made out in the name of the customer and are not transferable. Passengers are responsible to ensure that the names printed on the ticket exactly match their passport names. Due to newly introduced security measures, any name change including minor spelling corrections may require airline reservations to be canceled and rebooked. Reservations are subject to availability at the time of rebooking. Subsequent name corrections will be subject to an airline-rebooking fee of up to $200 per ticket. Cairn Travels will not be held responsible for the denial of services by a carrier due to any name discrepancy. Name changes must be advised in writing. Tickets are valid only on the dates and flights indicated. Unused portions of tickets may not be used for travel on other flights and are not subject to refund at any time.
BAGGAGE
Baggage is at owner’s own risk throughout the tour. Baggage allowances are trip specific and will be advised at time of booking. Excess baggage charges are strictly enforced and it is the responsibility of the passenger to pay these charges at the airport.
HOTELS
All hotel accommodations will be provided in hotels mentioned or of similar category. Cairn Travels reserves the right to substitute hotels of similar category if necessary. Special requests such as bed types, smoking preference and connecting rooms are subject to availability.
SIGHTSEEING, TRANSFERS PORTERAGE AND TIPS
All sightseeing and transfers will be conducted in private vehicles unless otherwise specified. Transfers include the handling of one piece of standard size luggage per person. Tips to guides and drivers are not included and are customary.
PUBLIC HOLIDAYS
On dates including, but not limited to religious holidays and national celebrations, some monuments and sites may be closed. On these occasions, touring itineraries may be amended to reflect these closures.
LAND AND AIR COST
All land and air costs are in U.S. dollars and based on tariffs, rates of exchange, costs and schedules in effect July 1, 2019 and are subject to change without notice. Any fluctuation of currencies could result in a higher land cost. In any case, no surcharge will be imposed after the final tour payment is received. Cairn Travels is under no obligation to give a breakdown of costs for any journey.
NOT INCLUDED
Tour prices do not include meals unless specifically indicated in the itinerary, service charge for obtaining visas, foreign airport departure taxes, laundry, mineral water, beverages, and items of a strictly personal nature.
US DEPARTMENT OF STATE TRAVEL ADVICE
From time to time, the US Travel Department (www.travel.state.gov) issues Travel Advisory Notices giving advice regarding travel to a particular destination, which you should consult. If their advice to US citizens is to defer travel we may have to cancel your travel program. If their advice is against non-essential travel we will not usually cancel your travel program, but will be happy to give our opinion of the possible risks involved. The decision to travel or not in this case will be yours, and our normal cancellation conditions will apply. You should also check your travel insurance to confirm how a Travel Notice affects your policy.
RESERVATIONS, DEPOSITS AND FINAL PAYMENT
All reservations for the tours shown herein are to be made directly with Cairn Travels LLC. Reservations will not be considered definite until a deposit of $500 per passenger is received. Deposit payment is non-refundable once services have been confirmed. Reservations made within 30 days prior to departure are subject to a $50.00 per booking late fee, with full payment due within 24 hours of confirmation. All prices are in U.S. Dollars unless otherwise stated.
CANCELLATIONS, REFUNDS AND MODIFICATIONS
All cancellations must be made in writing to Cairn Travels. There are no refunds for any cancellations made 30 days or less prior to departure. In the event of group reservations or guided Cairn Travels trips, no refunds will be given six months prior to departure. Cancellation policies may vary.
Any cancellation that is received en-route will be subject to full forfeiture of all monies paid on any program. There is no refund for unused land services, including missed transfers due to airline changes and/or missed flights, unused meals, missed sightseeing tours, unused entrance fees, and accommodations. Any voluntary alterations of confirmed itineraries before departure will require a handling charge of $50 for each change.
